Those in attendance:  Sue Apking, Martha Carmody, Sandi Cloppert, Kay Divis, Pat Haslit, Donna Knopp, Don Apking, Mayor, Susan Gordy, ECAC Director
I.   ECAC Minutes from September 15, 2010 meeting:  Mrs. Divis distributed the September minutes, and with no additions or corrections Mrs. Cloppert moved we accept the minutes as presented.  Mrs. Knopp seconded the motion.
II.   ECAC Treasury report distributed by Mrs. Divis.  Details were discussed for clarity.
III.  Old Business      
A.  Director Gordy’s Report  
1.   Classes and Workshops:
a. There are several workshops scheduled.  Director Gordy asked about the purchase of the slant stands for Calligraphy Classes.  The commission members decided the students should purchase their own, since each student will need one for practice.  
b. Mrs. Apking talked about acting classes for children.  The suggestion was made that we contact Carol (Mrs. Apking’s contact in Clifton) and see about having a one week drama workshop for next summer.   Mrs. Apking will get more information for the November meeting.
2.  Supplies:  Director Gordy requested oil cloth for the protection of the table tops from paint.  The ECAC has plastic covers which crease when they are folded.  Mrs. Cloppert will purchase oil cloth to cover three tables.
3.   Center Usage:  Director Gordy has given each teacher a copy of his/her attendance sheets.  She will use these sheets to more accurately assess the actual use of the Center.  Mrs. Divis reported that the number of students registered to use the ECAC to date was the same as September, since the new classes will start next week on October 18, 2010.  An update will be in November.  Mrs. Apking suggested we also indicate on the attendance sheets Resident or Non-resident.
4.  Advertising:
a.  Calendar – Google and Outlook:  Director Gordy distributed the listing of all the classes for the late fall schedule.  She likes the format of the Outlook Calendar, since the Google Calendar overlaps in the same color all the weeks’ classes.  The Google Calendar, however, is more universally available.  She will also be attending a work shop for Internet Marketing.  
b.  Director Gordy is making a website for the Cultural Arts Center.  The ECAC is now on Facebook, and email blasts.  The information will to go the Enquirer, accessed at www.cincinnati.com.   Mrs. Carmody will continue to forward our information for particular events to her daughter-in-law for email to the PTA.         
5.  Playhouse in the Park:  Director Gordy stated all is ready for the performance of Happy Worst Day Ever for ages 7 and up on October 17, 2010 at 3:00pm in the Rec Center Flex Room.  Coming up in  2011 are:
                        DIS/TROY  by Yokanaan Kearns,   February 12, 2011, 7:30PM; ages 10 and up
                        Lillie’s Purple Plastic Purse,  by Kevin Kling, May 1, 2011, 3:00pm; ages 5 and up.
B.  Facility
1.  Pottery Room:  Director Gordy has contacted Darla Kirchner concerning the kiln.  Darla told her she has used the kiln on recent occasions and it does work.  She has replaced 3 or 4 of the elements.  Mayor Apking stated he would contact Mr. Mechley for the wiring, the Fire Department for the safety issues and a need for a fire door, and the Service Department to move the unneeded equipment out of the furnace room area.  Once this process is completed, Director Gordy will purchase the equipment.
2.  Long Term Plan:  Director Gordy is working on the 5 year plan.  It includes the final renovation of the ECAC and the expanded use by the ECAC of the space in the Old Gym and south end office.
3. Elevator:  Director Gordy has contacted Hamilton County concerning a grant.  Since we are part of a municipality, the ECAC does not qualify for a county Grant.  Director Gordy will explore more options, such as grants for Historical Buildings, Ohio Cultural Arts, or from  the Ford Foundation.  Mayor Apking will check with Mr. Mechley for the most recent plans for the building which may show the placement of an elevator.
4.  Computers lower level:  Mrs. Haslit asked about putting a computer in the lower level for her art classes to use.  Director Gordy stated she would donate a flat screen monitor, and will contact Randy for another computer that can be used there.
5.  Discussion ensued concerning the renovation of the gym, and south end of the center when funds are available.  Mrs. Apking made the comment that we have to take a look at the entire picture and get the most renovation for our money.  Mrs. Carmody stated that the old gym remains part of our long term plan for a small stage and all purpose space.  She noted that it is currently being put to use by overflow storage from the Recreation Center and the Historical Society.  


C.  Exhibits  
1.  Bob Griffin’s Exhibit will be in the beginning of 2011, either late winter or early spring.  Depending on the bulk of the items, we may need to use the Flex room for that exhibit.  Discussion was tabled until November.
2.  Carrie Vonderhaar Exhibit:  Director Gordy has been in contact with Carrie.  The date is set for December 17 & 18, 2010.  Mrs. Apking suggested we contact Jodi Kessler for her email list of teachers at area schools to invite them and their students to the exhibit.  The ECAC Commission will have postcards and advertisements for the center at the Town Hall Meeting on November 7, 2010.
D.  Other
1. Security:  Director Gordy stated she has noticed strange vehicles and people parked in the lot or loitering.  Mayor Apking told her to call the police if she was concerned and have them check it out. Mrs. Divis mentioned that recently she has found doors unlocked at the center when she checks the building after all the instructors and students have gone for the evening.  Director Gordy will send emails to all instructors reminding them to be sure all doors are closed and locked after their sessions.
2.  Office space:  Mrs. Gordy said she is fine with sharing the space with Lou Larson, the guitar teacher.  He does not generally come into the building for lessons until 4:00PM.  Mrs. Gordy will move out to another space for the final hour of her work on certain days.
3.  Music Scholarships:  The guide lines were established during the September 2010 meeting and are in the minutes.  We are now going to accept scholarships for the classes taught by Chris Ellison, Drums, and Lou Larson, Guitar.  When a student signs up for the month long class, the student with the scholarship will pay 50% and Mrs. Divis will send each instructor a monthly check from the ECAC for the balance of his cost.
4.  Key to South door:  Mrs. Gordy reported that the key that opens the North doors into the center will now open the South upper door. 
5.  Programs:  Mrs. Cloppert talked about a “Ladies Night Out”.  There would be minimal cost for the ladies to have an artist on site to show them how to paint.  The instructor will have supplies for use by the ladies.  Each participant can paint whatever she wants and take her painting home with her.  Mrs. Carmody volunteered to be the first instructor, and Director Gordy will put something together and report at the next meeting.  The ladies could bring their own refreshments, if desired.
IV. New Business
A.  Cincinnati Parent Magazine:  Director Gordy stated that the Cincinnati Parent Magazine will accept advertising in their Cultural Arts publication once a year, (in November) for $60.00.  Mayor Apking suggested we do it for one year and see what kind of response we receive.
B. ECAC Presence:  The question arose about having Two Handed Mikey again at the Halloween Party at the Recreation Center for children.  After much discussion the commission members decided it was too close to the date of the Halloween Fest, and the idea has not been cleared it with Mrs. Hagner at the Rec Center.  We will take it into consideration for next year or a different event.
C.  ECAC Table at Town Meeting:  The ECAC Commission will have a table set up at the Recreation Center near the front desk on November 7 for Town Meeting.  Mrs. Gordy will check with Mrs. McGregor,  ballet instructor, and the music  instructors about the possibility of students performing that evening near our ECAC table.  Mrs. Carmody volunteered to bring in a painting or two for the display.  Mrs. Apking has some musical instruments for display and will be in charge of the table.
D.   Miscellaneous  
1.  Mrs. Haslit asked about a Virtual Pose book she received to add to the ECAC Art Books collection..  She stated that some of the paintings are nude and that the books would be placed where children can look at them.  Mrs. Carmody suggested that the instructors using the Studio be made aware of the nude paintings in the books and that each instructor monitor any children who happen to encounter the books.
2.  Mrs. Gordy asked about the purchase of ballet bars and mirrors for the ballet classes.  There was discussion on the possibility of obtaining movable mirrors.  Mrs. Carmody noted the high cost and fragility of the Mylar panels that were considered in 2009.   The commission decided to have Director Gordy contact Ms. McGregor to come to one of our meetings to present her case and share suggestions.
3.  Mr. Payne has indicated that he would like to split his proceeds with the ECAC to support the center during his workshop.  Mayor Apking said that would not be necessary, since the ECAC is funded by the village.  Director Gordy and Mrs. Haslit will consult with Mr. Payne and arrive at a workshop cost.
4.  Mrs. Apking announced that the Evendale Church will be sponsoring a free concert on Friday October 22, 2010 and Dr. Plitzen, an ECAC instructor, is the director of music there.  Our support would be appreciated.

With no other business to attend to, the meeting was adjourned.  Next meeting: November 15, 2010, 10:00am.
